The short version
Your recordings, transcripts, flashcards, notes, and voice profiles stay on your device. We do not receive them, sell them, or read them. What we do hold on a server is small and listed in full below: your account details, your subscription and device records, and — for AdjiCera Call — your registration and short-lived encrypted connection data. Two exceptions are described plainly in Sections 3 and 4: the optional Prime AI features, which send the text you choose to a third-party AI provider, and calls that cannot connect directly, whose already-encrypted audio and video pass through relay infrastructure. AdjiCera is currently offered to residents of the United States only.
1 · Who we are and what this covers
This policy is issued by Adjibar LLC (“AdjiCera”, “we”, “us”) and covers three products plus this website:
- AdjiCera Student — a desktop application that records lectures and produces transcripts and study material on your own computer.
- AdjiCera Professional — the desktop application for meetings, with transcripts, summaries, action items, and analytics produced on your own computer.
- AdjiCera Call — our calling product, available in your browser at adjicera.com/call and inside the desktop app, with end-to-end encrypted signaling and chat.
Where a section applies to only one product, we say so.
2 · What stays on your device and never reaches us
The following are created and stored locally by the software and are never transmitted to us:
- Audio of any recording you make, including call recordings you start in AdjiCera Call
- Transcript text, including live call transcription, which is produced on your device
- Flashcards, quizzes, study notes, concept maps, summaries, action items, and meeting analytics
- What courses you take, what meetings you run, who you record, or what you study
- Voice profiles and voiceprints you enroll, and the enrollment audio
- The contents of your calls, including one-to-one chat messages, which are end-to-end encrypted (see Section 4)
Our desktop applications do not send us usage analytics or behavioural telemetry. Settings contains a diagnostics option that is off by default; it is limited to anonymous technical information about software faults and never includes audio, transcripts, or the contents of your files.
3 · What we collect on our servers
3.1 Account information (created when you sign up on this website). Your email address, a display name if you provide one, your account type, your subscription status and renewal or cancellation date, your licence key and its status, an identifier assigned to you by our payment processor, and the date your account was created. Purpose: to operate your account, keep your subscription state consistent across devices, and provide support.
3.2 Sign-in sessions. When you sign in we store a random session token linked to your email address, with a creation and expiry time, and set a corresponding cookie in your browser. It is a strictly necessary cookie — we run no advertising, tracking, or third-party analytics cookies on this site.
3.3 Device and licence records. When you activate the desktop application we store an anonymous device identifier and installation identifier generated by the software, your operating-system platform, and activation and last-seen timestamps. These enforce the device limit on a licence and the free-trial period. They are not linked to any hardware serial number we can read, and they tell us nothing about what you record.
3.4 Payment records. Checkout is handled by our payment processor. Your card details never reach our servers. We retain a ledger of transaction type, amount, currency, timestamp, and the processor’s reference for that customer, which we need for billing support, refunds, and tax records.
3.5 Prime AI usage. Prime features are optional and off unless you use them. When you use one, the text you send — typically an excerpt of a transcript, plus your question — is transmitted to our servers and forwarded to a third-party AI provider that generates the response. We do not store the content of these requests or the responses. We do store a usage ledger against your account: the feature used, token counts, an estimate flag, and the calculated cost, so that usage-based billing and quotas are accurate. The AI provider processes the text under its own terms and privacy practices; we do not control its retention. If you would rather nothing leave your device, do not enable Prime — every core feature runs locally without it.
3.6 AdjiCera Call registration. To use Call you register a public username that other people dial. We store your email address, the display name you chose, that username, first-registration and last-seen timestamps, and a shortened description of the browser or application that registered (a user-agent string). Purpose: to make usernames unique, to let you recover your identity on another device, and to prevent abuse.
3.7 Call connection data. See Section 4.
3.8 Website and security data. Our infrastructure provider processes IP addresses to deliver the site, and we use IP addresses transiently, in memory, to rate-limit abusive requests. If you join a waiting list, we store the email address you submit, the platform you asked about, the submission time, and the IP address and browser user-agent of that submission, as a record of the request and to deter automated abuse.
3.9 Connection diagnostics. The Call client reports anonymous connection outcomes — whether a call connected, how long it took, the general network type, the connection method used, a shortened user-agent, and a timestamp. There is no account identifier, message content, or media in these records; they exist so we can tell whether calling works on real networks.
4 · How AdjiCera Call handles your conversation
Encryption. Every signaling message and chat message in AdjiCera Call is encrypted in your browser or app before it is sent, using a key derived from the secret contained in the invite link. That secret travels in the part of the link that browsers never transmit to a server, so we cannot decrypt this traffic. Our servers see only ciphertext, a room identifier derived by one-way hash, and the size and timing of messages.
Relay of encrypted data. Calls normally connect directly between participants. When a network blocks a direct connection, media is relayed through connectivity infrastructure. Two things can happen: media may pass through a relay server in encrypted form, and — in the fallback path — encrypted audio and low-frame-rate video chunks are carried through the same encrypted message channel described above. In both cases the payload is encrypted end to end and is not readable by us. We do not record, store, or transcribe any of it.
Deletion. Encrypted messages are deleted as soon as they are delivered. Anything undelivered expires and is swept after ten minutes. Room records expire after twelve hours, and ending a call purges the room and everything queued in it.
Recording. If a participant starts a recording, it is written to that person’s own device. Nothing is uploaded to us. The person starting the recording must confirm an on-screen notice that all participants have been informed and have consented. Responsibility for that consent rests with the person recording — see Section 4 of our Terms of Service.
5 · Why we process your information
We process the information above to: provide and maintain the products; create and secure your account; deliver the features you request, including optional Prime AI features; process payments, refunds, and subscription changes; enforce licence and device limits; keep usernames unique and calls connectable; protect against fraud, abuse, and denial-of-service; provide customer support; and comply with tax, accounting, and other legal obligations.
We do not build advertising profiles, we do not perform automated decision-making that produces legal effects about you, and we do not use your information to train AI models.
6 · We do not sell or share your personal information
We do not sell your personal information, and we do not share it for cross-context behavioural advertising, as those terms are defined by the California Consumer Privacy Act. We have not done so in the preceding twelve months. There is no opt-out for you to exercise because there is nothing to opt out of.
7 · Service providers and disclosure
We disclose information only to service providers who process it on our behalf, under contract, for the purposes above:
- Cloud hosting and storage — runs this website, our APIs, and the stored records described in Section 3. United States data centres.
- Payment processing — handles checkout, cards, subscriptions, and invoices. They receive your payment details directly; we do not.
- Connectivity infrastructure — relays encrypted call media when a direct connection is not possible, as described in Section 4.
- AI processing — a third-party provider that generates responses for optional Prime features, and receives only the text you choose to send to those features.
We may also disclose information when required by law, subpoena, or valid legal process, to enforce our Terms, or to protect the rights, safety, or property of our users or of Adjibar LLC. If our business is transferred, account records may transfer with it, and this policy will continue to apply to them until you are told otherwise.
8 · How long we keep it
- Account, subscription, device, and Call registration records — until you delete your account or ask us to delete them.
- Sign-in sessions — up to 30 days, then they expire and are removed.
- Prime usage ledger — rolling 12 months, then automatically pruned.
- Encrypted call messages — deleted on delivery; undelivered messages expire after 10 minutes; rooms after 12 hours.
- Connection diagnostics — retained only as long as needed to diagnose connectivity, and never linked to your account.
- Waiting-list entries — until the relevant product launches or you ask us to remove you.
- Payment and transaction records — up to 7 years, because tax and accounting rules require it. This retention survives account deletion.
9 · Security
Traffic to and from our servers is encrypted in transit. Call signaling and chat are additionally end-to-end encrypted, so their contents are not accessible to us at all. Session tokens are random and expire. Stored records are held with our cloud infrastructure provider behind authenticated interfaces, and access is limited to what is needed to run the service. No system is perfectly secure, and we do not claim otherwise — but the single most effective protection here is architectural: the material most people care about, your recordings and transcripts, is never in our possession in the first place.
10 · Your choices and rights
You can update your display name, export the account information held for you, and permanently delete your account from your dashboard settings. Deleting your account revokes Prime, unpairs your devices, and removes your account record. It does not delete your recordings — those are on your computer and remain yours.
You may also ask us to access, correct, or delete the information we hold about you, including your AdjiCera Call registration and any waiting-list entry, by emailing support@adjicera.com. We aim to respond within 45 days. We may need to verify that the request is genuinely yours before acting on it, which normally means replying from the email address on the account. You may use an authorised agent, in which case we will ask for proof of authorisation.
11 · California residents
If you are a California resident, the California Consumer Privacy Act (Cal. Civ. Code §§ 1798.100–1798.199.100) gives you the right to know what personal information we collect, use, and disclose; the right to request deletion; the right to correct inaccurate information; the right to opt out of sale or sharing; and the right not to be discriminated against for exercising any of these rights.
The categories of personal information we have collected in the past twelve months are: identifiers (email address, display name, public username, account, device, and installation identifiers, IP address); commercial information (subscription status, transaction records, feature usage counts); and internet or network activity information (browser user-agent, connection diagnostics). The sources, purposes, and recipients of each are described in Sections 3, 5, and 7. We collect no biometric information, no precise geolocation, and no information about your recordings.
We do not sell or share personal information, and we do not offer financial incentives for it. To exercise any right, email support@adjicera.com. We will not deny you service, charge you a different price, or give you a lesser experience for doing so.
This site does not respond to browser Do Not Track signals in a standardised way, because we run no tracking to disable.
12 · Children
AdjiCera is intended for people aged 13 and over and is not directed to children under 13. We do not knowingly collect personal information from anyone under 13. If you believe a child under 13 has created an account, email support@adjicera.com and we will delete the account and its data.
If you are between 13 and 18, you should review this policy with a parent or guardian, and you may use AdjiCera only with their permission. We do not offer AdjiCera as a school-managed or district-administered service, and we do not collect student records on behalf of any school.
13 · Marketing email
We use your email address to operate your account and to send you notices about your account, your subscription, and the service. We do not currently run a marketing email programme. If we ever start one, it will be opt-in, every message will identify us and carry a working unsubscribe link, and opting out will never affect your access to the product.
14 · Changes to this policy
If we change this policy we will post the revised version on this page and update the effective date at the top. When a change is material — for example, a new category of information collected or a new purpose for using it — we will highlight it on this page for at least 30 days before it takes effect, and where we have a working address for you we will also notify you by email. Continuing to use AdjiCera after the effective date means you accept the revised policy. Previous versions are available on request.
